Law for Records Managers
This course examines the aspects of Canadian law that affect the management of records, provides guidance in researching legislated records retention requirements and limitation periods in Canadian statutes and regulations, and identifies selected U.S. laws (e.g. The Sarbanes-Oxley Act) that may affect the record keeping practices of Canadian businesses. Students will learn through examples and exercises. Upon completion students will be able to
  • Describe how various types of legislation (e.g. privacy acts, evidence acts, etc.) may affect record keeping.
  • Identify which jurisdiction (federal and/or provincial/territorial) may have passed laws affecting the retention requirements for a record series
  • Explain how selected U.S. laws may affect the record keeping practices of Canadian businesses.
  • Identify the legislative status of a bill.
  • Research legislated records retention requirements and limitation periods using print and electronic resources.

Managing Electronic Records
This course shows why it is vitally important to manage all electronic records in accordance with records management principles and describes the planning and implementation considerations for an electronic records program. The unique characteristics of e-records are examined and the implications of managing the lifecycle of electronic records reviewed. The process for implementation in all its major steps and the requirements for developing and operating an electronic records program are described and discussed. Upon completion students will be able to:
  • Explain why e-records must be shown to be authentic, reliable and have integrity, and how this mitigates risk.
  • Define lifecycle management and show how it applies to e-records.
  • Describe the role of metadata in managing electronic records. Recognize and be able to assign metadata elements.
  • Explain the role of standards in ensuring that records are legally acceptable.
  • Identify the steps involved in establishing the infrastructure for an electronic records management system.
  • Understand the benefits of starting with a pilot project and be able to communicate these benefits to staff.

Records Management & Enterprise Content Management (ECM) - From Concept to Implementation - Day 1
The first part, Day 1, examines how the records management discipline is an important component in the successful implementation of an Enterprise Content Management strategy. The various software modules that fit into the Enterprise Content Management structure will be discussed addressing the benefits and how it all fits together to successfully manage records. Upon completion students will be able to:
  • Describe how document management/records management software fits into the Enterprise Content umbrella.
  • Identify the modules that fit within ECM applications.
  • Identify the main players in the ECM space
  • Evaluate the products of the different vendors and understand how to interpret their product lines.
  • Ensure that participants can participate effectively in planning and implementing ECM modules.
Prerequisite:

Day 1 and Day 2 MUST be completed in the same session

Part two, Day 2, addresses the process of selecting software based on business and technical needs and an implementation strategy to successful move electronic records into a well managed repository that controls the life-cycle of the record. Students will learn

  • How to define functional requirements
  • What to think about in an RFP
  • How to develop a tool to assess the software
  • The challenges of change and implementation

Records Management in a Changing Environment
The practice of records management is constantly evolving in response to changes in information technology, business practices, legislation, and economic and social factors. In order to play an integral role in managing those changes, Records Managers must understand how the external environment influences and even forces changes in the way information is managed. This course examines several changes that are impacting records management as organizations rapidly move to a digitized world. Upon completion students will be able to:
  • Discuss the records management implications of Web 2.0 technologies (e.g. blogs, social networking, etc.)
  • Describe the differences between e-mail management and e-mail archiving, and the pros and cons of each approach
  • Explain how a Records Management Program can assist an organization to identify sources of electronic evidence and produce that evidence when required during electronic discovery (e-discovery)
  • Discuss the importance of digital preservation for ensuring information of continuing value remains accessible and usable for as long as necessary
To discuss these key trends, students are required to read at least one article about each of the four trends prior to the class. The resource list will be provided at registration.
